How do I merge two duplicate donor profiles?

In short: Open the duplicate (source) donor, click Manage then Merge Donor, search for the donor you want to keep under Merge Into, tick which Contact Information, Tax Information and Tags to keep, then click Merge. The source donor is removed; the donor you keep gets all the receipts, certificates and notes.

Steps

  1. Open the profile of the duplicate donor — the one you want to remove (the source).
  2. Click Manage (the cog by the donor's name), then Merge Donor.
  3. Under Merge Into, use the Search for donor... box to find and select the donor you want to keep (the target).
  4. Both donors show side by side with tick boxes, grouped into Contact Information, Tax Information and Tags. Tick which items to keep on the merged donor (you must tick at least one item in each section that has data).
  5. Click Merge. The kept donor now holds the combined receipts, certificates and notes plus the details you selected, and the duplicate is removed — you'll see "Donor merged successfully."

⚠️ Important: Merging is permanent and can't be undone. The source donor is deleted, and any contact details, tax info or tags you don't tick are dropped. Double-check which donor is the source and which is the target before you click Merge.

💡 Tip: This is also how you "delete" a duplicate that already has receipts — donors with receipts can't be deleted directly, but they can be merged.

Common issues

What you see Cause Fix
"Cannot merge a donor into itself. Please select a different donor." You picked the same donor as both source and target. Select the other donor under Merge Into.
"Please select one Address / Phone / Email / Tax Information / Tags" A section has data but nothing is ticked. Tick at least one item in each section that has data.
